Booking Process Checklist

Thank you for choosing Sanctuary Canberra as your event venue!

To ensure your event runs smoothly, we’ve created this digital Welcome Kit with all the essential information you’ll need for your time at our Sanctuary and a checklist of important dates. Please take a few moments to review the following booking and operational procedures.

  1. On acceptance of your quote: Make payment of the 50% deposit to secure your event date.

    1. All bookings must complete and return this document as set out by the Uniting Church NSW/ACT Synod Property Services. Please make sure you complete sections 1 and 2 (Hirer contact details) and 8, 9 + 10 (date and time of use) as well as sign the final page.

    2. All bookings must forward a current Public Liability Insurance certificate (with coverage up to the value of $20 million) to sanctuary@riseevents.com.au prior to your event. If you do not have one, you can obtain a FREE one through: https://www.nswact.uca.org.au/media/puhlsics/hall-hirers-public-liability-application-form.pdf

  2. Three weeks prior to your event: Make final adjustments to quantity of hire items with our team via email to sanctuary@riseevents.com.au.

  3. Two weeks prior to your event: Provide the final balance of your invoice to Sanctuary (including the $500 security bond).

  4. One week prior to your event: You will receive your keycode for access on your event day.

  5. On the Day: Enjoy being in our space! It is a delight to host you and your guests.

  6. After your event: We will contact you to see how your event went and will ask you to send us your BSB and Account number to process your bond refund.

On the Day Checklist

1. On Arrival at Sanctuary

  • Arrival Time: Please ensure you arrive at the scheduled time. This allows you to complete the setup without any disruptions.

  • Parking: We have designated parking available. Please use only the marked spots.

  • Contact on Arrival: For any immediate needs or questions, contact our Venue Manager on 0410 585 175

2. Building Access

  • Keycode Entry: One week prior to your event you will receive a unique keycode for access to the venue. To enter, input your code into the keypad at the main entrance. Make sure to press the "tick" key after entering your code.

  • Security Note: For the safety of all guests, please keep the door closed and locked during the event when not in use and avoid sharing your keycode with others.

3. Venue Inclusions

  • Amenities Provided: Sanctuary Canberra provides some tables, outdoor cushions, and comfortable lounge seating. The bathrooms and kitchen are stocked with towelettes, soap, toilet paper, garbage bags and wipes.

  • Lighting & Climate Control: You are welcome to adjust the lighting and temperature. There are two split system air conditioners in the venue and the remote can be found on the kitchen bench.

4. Furniture and Setup

  • Furniture: We have some tables, outdoor cushions, and comfortable lounge seating that you are welcome to use. Please be mindful when moving furniture to prevent any damage to the flooring or walls.

  • Event Setup: The space is designed to be flexible for various layouts. Feel free to arrange the furniture to fit your event needs, but we ask that everything be returned to its original configuration afterward.

5. Kitchen Use

  • Kitchen Access: You have full access to our kitchen facilities, which include a refrigerator, microwave, and dishwasher.

  • Supplies Provided: Basic kitchen items, including glassware, mugs, and utensils, are available for your use. Kindly bring any additional items you may need. If you have hired any additional crockery, glassware or cutlery please ensure these are clean and returned to the trolleys OR placed in the dishwasher and the dishwasher turned ON on your departure.

  • Food & Beverage: You’re welcome to bring in your own food and drinks. If you’ve arranged catering, please have the caterers arrive within the setup time specified. If you are bringing alcohol onsite please ensure we have received a copy of your RSA certificate prior to your event date.

6. Cleaning and Tidy Up

  • Cleaning Supplies: We provide cleaning supplies under the sink. Basic items like cleaning sprays, wipes, and a broom are available to assist with post-event tidying.

  • End-of-Event Cleaning: Please ensure that all areas used are returned to their original state. This includes wiping down tables, cleaning up any spills, and sweeping the floors if necessary.

7. Packing Up and Securing the Venue

  • Packing Up: All decorations and personal belongings must be removed from the space by the end of your booking time.

  • Furniture Reset: Please return all tables, chairs, and other moved items to their original positions.

  • Secure the Space: Before leaving, double-check that all windows and doors are securely closed and locked. Make sure all lights and climate control systems are turned off. Make sure all outdoor cushions are stored inside.

  • Final Lock-Up: Exit through the main door, ensuring it’s securely closed. To secure the door, you will need to place the palm of your hand over the black display and the door will lock automatically once closed.
